1. Who operates Maid-sama
Maid-sama is an independent community project operated by Black Eclipse [BLX]. For questions about this policy or requests concerning your information, contact privacy@blackeclipse.app.
This policy covers information processed by Maid-sama. Discord processes information separately under its own privacy terms.
2. Information Maid-sama may process
Discord information
Depending on the enabled feature, Maid-sama may process Discord user IDs, server or guild IDs, channel and message IDs, roles, usernames or display names, interactions and commands, and channel access or permission information.
Language information
This may include your primary language, additional languages, translation preferences, enabled or muted state and language-related Discord roles.
Game and alliance information
This may include your in-game name, alliance name and tag, Sanctuary level, Might, R1–R5 rank, alliance title, verification status, progression between roster updates, relevant membership history and alliance relationship information.
Roster submissions and images
Where roster features are enabled, Maid-sama may process screenshots or other roster submissions supplied by members or authorised leadership. This can include image files and information extracted from them, such as in-game names, Sanctuary levels, Might, ranks and titles. Submitted images may be retained temporarily or for longer where reasonably necessary to review, correct, audit or maintain roster information.
Music Room information
Where music features are enabled, Maid-sama may process submitted playlist or track links, public playlist and track metadata, search terms, requester Discord IDs, queue history, playback status and relevant voice-channel identifiers. Playlist links may be resolved through the linked music service and matched against independently playable sources. Maid-sama does not receive the benefit of a user's personal premium subscription merely because that user submits a playlist.
Verification and administration information
This may include verification requests, one-time verification data, the requesting and verifying users, approval or rejection outcomes, timestamps, role or channel-management actions and security or audit records.
Support and technical information
When you request help or an error occurs, Maid-sama may process the information you provide together with relevant technical metadata such as identifiers, timestamps, feature status, error details, latency or backend health. Operational logging should prefer metadata over full message content where practical.
3. Message content and translation
Maid-sama may access and process Discord message content where necessary to provide translation or another explicitly enabled feature. Processing can include source-language detection, routing to relevant target languages, protected-term handling, translation, safety checks, output validation, caching, troubleshooting and security review.
Message content should not be retained longer than reasonably necessary for translation, caching, security, troubleshooting or other explicitly enabled functionality. The precise handling can depend on the active feature and current implementation. Maid-sama does not promise that every message is processed exclusively in memory or that message content is never temporarily retained.
Do not include sensitive personal information in messages solely for Maid-sama to translate. Automated translations may be displayed in the relevant Discord channel or privately to the requesting user, depending on channel policy and the feature used.
4. Why information is processed
Maid-sama may process information to:
- provide translation and remember language preferences;
- assign Discord roles and provide appropriate language-channel access;
- register player identities and alliance membership;
- verify membership, rank, titles and leadership;
- reduce impersonation and unauthorised access;
- create and manage alliance Discord spaces and permissions;
- support alliance diplomacy and community coordination;
- manage shared Music Room playlists, track requests, queues and playback;
- enforce permissions and maintain accurate access;
- investigate errors, prevent abuse and maintain security;
- respond to support and privacy requests; and
- improve reliability and performance.
5. Basis for processing
Where data-protection law requires a legal basis, processing may be necessary to provide features you request, to pursue legitimate interests in operating a secure and useful community service, to comply with legal obligations, or—with appropriate choice—on the basis of consent. Relevant legitimate interests include preventing impersonation and abuse, enforcing scoped access, maintaining reliable infrastructure and supporting community administration.
You may be able to change language or translation preferences, leave a participating server, or ask for deletion. Some processing may remain necessary to protect the service, other users or legitimate audit records.
7. Translation and hosting infrastructure
Maid-sama's translation infrastructure can include self-hosted LibreTranslate and local language-model processing using OpenVINO. Other operational infrastructure may be used to host the Discord application, databases, backups and this website. The exact processing route can vary by language, availability, troubleshooting needs and future service changes.
We do not claim that all information always remains exclusively on local infrastructure. Where a service provider is used, information should be limited to what is reasonably necessary for the service being provided.
8. Data retention
Different information is retained for different periods according to its purpose. Translation-related transient data should generally have a shorter lifecycle than account configuration, verification, security and audit records.
Information is retained only as long as reasonably necessary to provide the relevant feature, preserve security and accurate permissions, investigate abuse, resolve disputes, meet legal obligations or maintain proportionate administrative records. Exact retention periods are not stated where they are not yet consistently defined in the implementation. Establishing and documenting precise retention schedules remains an ongoing compliance improvement.
When information is no longer reasonably needed, it should be deleted, anonymised or allowed to expire, subject to technically necessary backup cycles and legitimate security or legal requirements.
9. Your choices and data rights
Depending on your location and applicable law, you may have rights to request access to personal information, correction of inaccurate information, deletion, restriction, objection or a portable copy. You may also have the right to complain to the relevant data-protection authority.
To make an access, correction or deletion request, email privacy@blackeclipse.app. We may ask for reasonable identity verification before acting so that information is not disclosed or deleted for the wrong person.
Some information may be retained where reasonably necessary for security, abuse prevention, dispute resolution, legal obligations or legitimate administrative and audit records. A request may also be limited where the information cannot be reliably linked to you or where applicable law permits or requires retention.
10. International users
The Discord community may include users in several countries. Depending on the location of infrastructure, administrators and service providers, information may be processed in a country different from your own. Applicable protections and provider terms may differ by location.
11. Security
Maid-sama uses reasonable administrative and technical safeguards appropriate to a community project. These can include Discord permission controls, alliance-scoped authorisation, one-time verification, restricted administrative interfaces, sensitive-operation validation, audit logging, database backups and role reconciliation.
No online service can guarantee absolute security. Please protect your Discord account, keep verification codes private and report suspected security problems to support@blackeclipse.app.
12. Children and age requirements
Maid-sama is intended only for people permitted to use Discord under Discord's applicable age requirements and policies. If you are not permitted to use Discord, you must not use Maid-sama.
13. Changes to this policy
This policy may be updated when Maid-sama's features, data practices, infrastructure or legal obligations change. The effective date at the top of the page will show when the current version took effect. Material changes may also be announced through Discord or an application notice.
